How Nippon Sanso Matheson Korea redesigned payroll

2026.08.28

Nippon Sanso Matheson Korea produces specialty gases for semiconductor manufacturing, and a small team inside HR & General Affairs handled both HR and payroll. The company had already outsourced payroll to another provider, but requests and processing history lived only in one person's memory and in notes on a message board, which made past issues hard to trace. On top of that, the monthly overtime settlement was still done by hand on paper and in spreadsheets, so payroll closing week put pressure on the team's schedule and their peace of mind at the same time. To solve this, Nippon Sanso Matheson Korea turned to HCG's integrated HR approach, where HR and payroll are managed on a single platform.

Before you adopted payroll outsourcing, what was the hardest part of payroll work?

We were already using another outsourcing provider, but communication and record keeping were difficult. Requests went through short messages on the provider's own message board, so nothing was left in our internal systems or email. Every time we needed to trace a past payroll case or issue, the data was hard to find, and that was a real burden day to day.

Among the many payroll outsourcing providers, what made HCG the choice?

The most important factor was bringing HR and payroll together on one platform. HCG's HR system and payroll outsourcing service are tightly connected, so we judged that we could manage HR data more accurately and efficiently. It also mattered that employees could see their HR · payroll information in one place instead of checking several separate systems.

Before After
Fragmented messages on a message board, with history hard to trace History managed on one tightly connected platform
Overtime request forms collected on paper, reviewed and keyed into spreadsheets by hand Linked to JaDE, so everything from the overtime request to the payment is handled automatically
Three days every month spent on overtime settlement The same work finished within three hours
Payroll calculation errors, large and small, every month Advance cross-checks brought errors down to 1 or 2 cases a year

Was there a moment when an unexpected issue came up and you felt you handled it with confidence?

It was when we had to file amended withholding tax returns for previous years after a National Tax Service audit closed. It was a complicated process we had never been through, and at first we had no idea where to start. Working with HCG, we organized the records and reviewed each item one by one, and we finished it accurately within the deadline. That was when we knew we had a structure in place that could handle an unexpected tax risk without panic.

Now that the way you work with a payroll partner has settled in, what has changed the most?

We can now stay ahead of changes that are easy to miss, such as amendments to tax and labor law, and that has moved payroll out of reactive firefighting and into something we actually manage. A routine grew up around checking every item that had caused trouble in the past, and the constant worry about an unexpected problem has eased a great deal. Most of all, we no longer carry payroll alone as a team. Working with the confidence that a partner is looking after it with us is the biggest change.

With less payroll administration to carry, what work have you been able to focus on instead?

We used to spend every payroll week chasing repetitive settlement tasks. Since adopting payroll outsourcing that burden has dropped sharply, and we now have the space to put far more energy into developing our own skills and into the planning work that drives our key KPIs.

What kind of company would you recommend payroll outsourcing to?

I would strongly recommend it to companies worn down by manual time and attendance management, or to those running into the limits of in-house systems because they have many complex and exceptional payroll variables, such as expatriate employees. When attendance and payroll are linked automatically, the hours a practitioner spends drop sharply, and having experts to lean on when a difficult issue comes up makes payroll operations far more stable.

Finally, in one sentence, what has adopting HCG payroll outsourcing meant for Nippon Sanso Matheson Korea?

A dependable HR navigator that turned the heavy pressure of every payday into room for our team to grow.
